WebEx MeetingCenter 6.2 Upgrade Announcement and Release Notes

Communique Conferencing is pleased to announce an upgrade to your MeetingCenter service. The new WebEx version 6.2 offers an updated user interface and access to enhanced features and functionality during meetings. Meeting follow-up is also more automated, thanks to our Note-taking and Transcript features. Finally, WebEx has also made substantial improvements behind the scenes. We've dramatically improved the reliability of our back-end infrastructure, increased our scalability, and improved our global performance.

Notes and Closed Captions
Notes enhances the meeting experience by supporting private notes or shared notes in the meeting. By providing Notes as part of the meeting manager, participants do not have to switch to a different window to record notes. Notes can have any format and can be saved as a text file.

  • The option for Notes is selected in the Schedule Meeting wizard, or in the meeting by selecting Options from the Meeting menu.
  • By selecting the All participants can take notes option, all participants can take their own notes on the Notes tab. Private notes are not shared, but can be saved as text by any participant.
  • Selecting the Single note taker option provides a public set of notes which are recorded by the Note Taker and published as the official notes of the meeting. The Note Taker can save the notes at any time as a text file. Public notes are included in the meeting transcript. The Note Taker role is indicated in the Participants List by a pencil.
  • Selecting the Closed Captions option provides a specific role for Closed Captionist, who transcribes audio into text and publishes the captions in the Closed Captions tab. The Closed Captionist role in the meeting is indicated in the Participants list by the CC icon.
  • Information on obtaining the optional Closed Captioning service for your meeting is available on the Support page of your meeting service site. This service is also available in Meeting Center 5.0, and in Meeting Center 6.0 a specific role is created for the captionist.

Assign privileges by attendee
The host can now assign attendee privileges to individual attendees, or to all attendees. This provides additional security controls by allowing the host to assign sensitive attendee privileges such as Recording or Remote control of shared applications only to selected attendees.

Meeting transcript
The meeting transcript feature enhances the meeting experience by automating the common task of sending a meeting follow-up email.

  • This feature generates an email addressed to all meeting participants, using the host's native email application. The body of the email includes basic meeting info, a list of all participants, and any public Notes or Closed Captions. Optionally, the host can choose to attach shared documents, polls, notes, or any other file attachment.
  • The meeting transcript can be sent at any time by selecting Send Transcript... from the File menu. If a transcript has not been sent when the meeting is ended, the Host will be prompted to send one.
Attendee ready indicator
The attendee ready indicator streamlines the meeting experience by making critical attendee status visible. It shows the presenter at a glance whether everyone has the slide that is currently being shared. If any attendee is behind, it shows who is behind and how much that attendee has received. Information is provided at a glance to keep the meeting flowing, and more detailed information is also available if needed.
  • The presenter sees an overall attendee ready indicator in the Participants list.
  • Individual attendees see an indicator next to their name in the Participants list.
  • At a glance: when the indicator is all green, it means that the current slide has been received. This applies to the overall indicator and the individual indicators.
  • When the overall indicator is yellow, it means that the current slide has not been received by all attendees. The text description tells the host how many (6 out of 12, for example) have the current slide.
  • Each square in the indicator shows at a glance what percentage of attendees have the current slide, in 25% increments. The host can hover the mouse over the overall indicator to see exactly what percentage of attendees have the currently slide.
  • When an individual's indicator is yellow, it means that particular attendee has not received the current slide. Each of the 4 squares that is colored shows at a glance how much has been received, in increments of 25%. If more information is needed, then hovering the mouse over the indicator shows the exact percentage.
  • The indicator only works for presentation sharing in this release.
Flash meeting manager icon

When the meeting window is in the background or minimized, and significant events occur in the meeting, the meeting window icon flashes in the toolbar. This is less intrusive than bringing the meeting manager window to the top. The following events cause the meeting manager to flash:

  • Attendee join/leave
  • Attendee raise hand
  • New chat
  • New notes
  • New presentation shared
  • Slide change (but not annotation)
  • Poll opened or poll results shared
Share app if Share document is not allowed

Due to Windows security restrictions, a participant may have a partial client if the client was set up on Windows NT, 2000, or XP without admin privileges. This client can do everything in the meeting except share documents. When such a participants selects Share document in the Share menu, a dialog box will describe the restriction and ask if the user wants to Share application instead. Selecting OK will share the application that manages the document.

Save All

Selecting Save All... on the File menu in the meeting now lets the host conveniently save all meeting documents in one folder. The default folder name is the date and meeting topic.

Office 2003 Support
Microsoft Office 2003 (PowerPoint, Word, Excel, etc...) is now fully supported eliminating any graphic distortion issues when sharing powerpoint.

Screen Resolution Auto-Adjust
When attendees' resolution screen size differs from the host, the attendee's screen will now be automatically adjusted to view the full screen of the host. This avoids the need for the attendees to scroll when the host's resolution is higher than the attendee's. The attendee can zoom in or out through the sharing menu during desktop or application sharing.

Video Upgrades

  • Each attendee that has an active Webcam on their PC will be listed in the Video section of the meeting center window. The presenter can select which Webcam video (presenter, host or guest) to display for all attendees to view in single-point video mode.
  • Each participant can move the video display screen to another area of the meeting center so that chat, notes, and polling sections can display concurrently.
  • Each Participant can view the Webcam video in full-screen mode, by selecting the full-screen option under the Webcam.
  • Each participant can opt to freeze fame the video stream as needed throughout the meeting.

Mac OS X Enhancements

  • WebEx Meeting Manager will set up automatically when starting or joining a meeting.
  • The Mac OS X client now supports Safari 1.0 or later
  • Document/Presentation Sharing Enhancement - Mac OS X client can now share file format documents of UCF, PDF, BMP, and JPEG.
  • Video - The Mac OS X client now supports Video.
  • WebEx Recorder is available only for Windows. However, WebEx Player for Mac OS can play WebEx Recording Format (*.wrf) files that were created using WebEx Recorder for Windows.
